AI Video Consultation Agent Development

AI Video Consultation Agent Development

An avatar-led consultation room your visitors can join immediately: two-way voice, a live transcript, chat, and a structured summary your team reviews afterwards.

  • Browser-based room with camera and microphone controls
  • AI consultant avatar, live transcript and text chat side by side
  • Structured summary and preliminary estimate, reviewed by a person

The gap between "I am interested" and "we have spoken" is where most enquiries die. A form promises a callback within a day. A calendar link offers a slot next week. Both ask an interested person to wait, and interest does not keep well.

An AI consultation experience closes that gap: the visitor joins a room in the browser and has the first conversation now. They talk, the AI consultant asks the questions your team would have asked, and what comes out the other side is a structured record — requirements, links, files and a preliminary estimate — for a human to review before anything is promised. This site runs exactly that arrangement, which is why the description below is specific rather than aspirational.

Why teams want this

The problems an AI consultation room solves

This is a first-conversation tool. It is worth building when the delay before that conversation is costing you.

The first meeting is a week away

Scheduling introduces a gap during which a prospect talks to someone else, loses momentum, or reconsiders. A room they can join in the next thirty seconds removes the gap entirely.

Discovery calls are consuming senior time

The same opening questions, asked by the person least available to ask them. Automating the first pass leaves your specialists for the conversations that genuinely need them.

What was discussed never gets written down

A good call ends with a memory and three lines of notes. A structured summary produced from the conversation itself means nothing depends on who was paying attention.

Enquiries arrive without enough detail to price

"How much for an app?" cannot be answered. A guided conversation that captures scope, roles, integrations and constraints turns an unanswerable question into an indicative range.

Time zones make live conversation hard

A prospect eight hours away rarely lines up with your calendar. An agent that is available whenever they are removes the coordination problem for the first conversation.

What it is used for

Where an AI consultation room fits

The pattern suits any structured first conversation that currently needs a person and a calendar.

Pre-sales discovery

Capturing what a prospect needs, at the moment they are thinking about it, so your team joins the second conversation already informed.

Project scoping and estimation

A guided conversation through scope, users, platforms and integrations that ends in a preliminary estimate rather than a promise to get back to them.

Professional service intake

Structured initial intake for consultancies and agencies, collecting the background and documents a specialist would otherwise gather in a first call.

Onboarding and account setup sessions

Walking a new customer through setup live, answering questions from your own documentation, and recording what still needs doing.

Application and eligibility conversations

Guided intake where the questions branch, documents need collecting, and a person will review the outcome before any decision is communicated.

Internal briefing sessions

Capturing a request from another department in a structured way, so a ticket arrives with the context already attached.

What the room contains

Features of an AI consultation experience

Everything below is a component we build. The consultant appears as an animated avatar tile — we do not generate photorealistic video of a human.

The consultation room

A real-time room in the browser, joined from a link with no software to install.

  • Real-time audio session with reconnect handling
  • Pre-join device check for microphone, camera and speakers
  • Permission guidance when a browser blocks access
  • Client microphone and camera controls, including joining audio-only
  • Audio recovery when a device is changed or muted mid-session

The AI consultant

An avatar-led presence with a voice, animation states and a clear label saying what it is.

  • Animated avatar tile with listening, thinking and speaking states
  • Two-way natural voice conversation with interruption handling
  • Deterministic opening, then a guided but flexible conversation
  • Grounding in an approved set of company facts, with refusal outside it
  • Explicit disclosure that the consultant is an AI agent

Transcript, chat and materials

Three parallel channels, because not everything is best said out loud.

  • Live transcript of the conversation as it happens
  • Text chat alongside voice, for spellings, links and quiet environments
  • A panel for sharing files and links during the session
  • A visible summary of the requirements captured so far
  • Language and accessibility options configured per deployment

Project context and estimation

The conversation is connected to your existing intake, so nothing is asked twice.

  • Prior project-analysis answers carried into the session as context
  • Structured capture of scope, roles, platforms and integrations
  • A preliminary estimate calculated server-side from the captured facts
  • Clear labelling of the estimate as indicative rather than a quotation
  • A written summary produced at the end of the session

Handover to your team

The output of the session is a record a person picks up, not an automated sale.

  • Structured meeting summary delivered to your internal dashboard
  • Requirements, files, links and transcript attached to the record
  • Notification to your team while the enquiry is still warm
  • Escalation to a human requested by the visitor at any time
  • Follow-up booking where the next step needs a specialist

Consent, controls and operations

A recorded conversation with an AI raises obligations, and the room is built around them.

  • Consent captured before a transcript is stored, and kept with the record
  • Visible recording and transcript state during the session
  • Session length and concurrency limits enforced server-side
  • Per-session cost visibility across speech and model usage
  • Configurable retention and deletion for transcripts and summaries
How we work

Our approach to consultation agents

This is the highest-stakes AI surface we build: it speaks to a prospect, in your name, about money. The design is conservative on purpose.

The agent is introduced as an AI consultant and never presented as a member of staff. That disclosure is a fixed part of the build.
Numbers are calculated by deterministic server-side logic from facts the conversation captured. The model classifies; it does not do arithmetic.
Every figure the visitor sees is labelled as a preliminary, indicative estimate — not a quotation, not an offer, not binding.
Nothing is committed on your behalf. The session produces a record for human review, and follow-up comes from a person.
The conversation is grounded in an approved set of company facts, so it cannot invent capabilities, prices or credentials.
The visitor keeps control throughout: mute, camera off, switch to text, ask for a human, or leave.
Discovery through operation

How a consultation agent project runs

The conversation design and the estimation rules take more effort than the room itself.

1

Discovery and consultation design

We map the first conversation your team currently has, then decide which parts an agent should handle and where a person must take over.

  • The questions your specialists ask, and why each one matters
  • The facts the agent may state, and their approved source
  • Fields to capture, and the structure your team needs them in
  • Estimation or qualification rules, expressed as deterministic logic
  • Escalation triggers, consent wording and disclosure requirements
2

Architecture and room design

The room is a real-time application with its own interaction problems — permissions, devices, network and attention.

  • Real-time session architecture, tokens and reconnect behaviour
  • Device-check, permission and audio-recovery flows
  • Avatar states, transcript, chat and materials panel layout
  • Estimation engine designed as server-side rules, not model output
  • Consent, recording indicators and retention design
3

Development and integrations

Room, agent and back office are built together, because the session is only useful if the record lands somewhere.

  • Consultation room and its controls
  • Voice pipeline with turn-taking and interruption handling
  • Structured state capture and server-side estimation
  • Summary generation and delivery into your internal tools
  • Notifications, follow-up booking and escalation paths
4

Testing and quality assurance

Tested as a meeting, not as a page: real devices, real network conditions, real interruptions.

  • Cross-browser and cross-device testing, including mobile
  • Permission denial, device switching and reconnect scenarios
  • Conversation testing with unscripted speakers
  • Verification that estimates match the deterministic rules exactly
  • Adversarial testing against attempts to extract commitments
5

Launch, review and tuning

Early sessions are reviewed closely, because this agent represents you to people who have not met you.

  • Phased launch, often behind a link before it is public
  • Human review of early session summaries against the transcript
  • Monitoring of completion rates, escalations and drop-off points
  • Conversation and grounding adjustments from real sessions
  • Ongoing support for provider changes and new requirements
Integration

How the room connects to your business

A consultation is worth what happens after it. These are the connections we build; anything not listed is custom scope we would confirm before promising.

The room is embedded in your own website or product and joined in a browser — there is no dependency on a third-party meeting platform, and we do not claim integration with one unless it has been scoped and verified for your project.
Structured summaries, requirements, files and links written into your CRM, internal dashboard or ticketing system through their APIs.
Email, messaging or webhook notification to your team as a session ends.
Existing intake data — a form, a project questionnaire — carried into the session as context so questions are not repeated.
Calendar integration where the session ends by booking a human follow-up.
Deployment into your own accounts, with real-time and model provider credentials held in your secret store.

See the numbers before you commit

Answer a few questions and our AI produces an indicative team, effort, cost and timeline range for your project. No signup, and the result is an estimate rather than a quotation.

Working together

Engagement options for a consultation room

This is a bigger build than a chat widget: a real-time room, an agent and a back office. Most clients stage it.

Pilot consultation room

One conversation flow, the room, the agent and a summary delivered to your inbox, launched behind a link so real prospects can be observed using it.

Best for testing whether your audience will join a live AI session.

Full consultation platform

Multiple flows, estimation or qualification rules, CRM and dashboard integration, scheduling, escalation paths and internal review tooling.

Best once the pilot has proven the format.

Ongoing operations

Monthly capacity for session review, conversation and grounding updates, estimation rule changes, provider migrations and cost tuning.

Best for a room handling live enquiries.

Honest limits

What this system is, and what it is not

This is the section we would want to read first if we were buying it.

  • The consultant is an AI agent presented as an avatar. It is not a human employee, and it is not presented as one at any point in the session.
  • The avatar is animated, not photorealistic generated video of a person. If you want a synthesised human likeness, that is a different product and we would tell you we are not building it here.
  • The room runs in a browser over an internet connection. There is no telephone dial-in, and no integration with third-party meeting platforms unless that has been separately scoped and verified.
  • Estimates produced in the session are preliminary and indicative. They are not quotations, not offers, and not legally binding, and they are labelled that way where the visitor can see them.
  • The agent does not close sales, agree terms, apply discounts or commit to timelines. Those are human decisions and the system routes them accordingly.
  • Speech recognition and model reasoning are imperfect. Important details are confirmed in the conversation and are visible in the transcript for correction.
  • Session quality depends on the visitor’s device, microphone and network, which are outside our control.
  • Real-time sessions consume metered services per minute, so cost scales with conversation time.

Human oversight we design in

  • Every session summary is reviewed by a person before follow-up
  • Estimates carry a visible "preliminary" label and a human review step
  • The visitor can ask for a human at any point in the session
  • Escalation on sensitive topics or repeated misunderstanding
  • Early sessions sampled and checked against their transcripts

Transcripts and recordings are captured only with consent, and the consent state stays attached to the record so your team can see it before using anything. Retention periods are configurable, and disclosure that the consultant is an AI is a fixed part of the experience.

Security and privacy

Handling consultation data

These sessions capture voice, video permissions, business detail and sometimes documents. The handling is designed around that.

  • Consent captured before any transcript is stored, with the consent state kept alongside the record
  • Visible indication of recording and transcript state throughout the session
  • Encrypted real-time transport, and encrypted storage for retained material
  • Short-lived, scoped session tokens issued server-side; long-lived credentials never reach the browser
  • The agent worker given no database credentials, reaching your systems through a narrow authenticated interface
  • Uploaded files and links scoped to the session and stored under your retention policy
  • Session, concurrency and budget limits enforced server-side
  • Access to session records restricted to your authenticated internal users

We hold no certification and offer no warranty of security. These sessions frequently contain personal and commercial information, so if you operate under a specific privacy regime, raise it during discovery — consent wording, data location and retention are design decisions that are far cheaper to settle before launch than after.

FAQs

Questions we are asked most

Is the AI consultant presented as a real person?

No, and we would not build it that way. The consultant is introduced as an AI agent and appears as an animated avatar tile with listening, thinking and speaking states. There is no synthesised human likeness and no implication that a member of staff is on the call.

Does it work with Zoom, Google Meet or Teams?

Not out of the box, and we will not claim otherwise. The room is embedded in your own site and joined in a browser, which is why there is nothing to install. If a third-party platform integration is genuinely required, it is separate scope and we would investigate feasibility before committing to it.

Can visitors join by phone?

No. There is no telephone dial-in and no phone number. The session runs over an internet connection in a browser, on desktop or mobile, and a visitor can join audio-only if they prefer not to use a camera.

Is the estimate it produces binding?

No. It is a preliminary, indicative estimate calculated by deterministic server-side rules from the facts captured in the conversation, and it is labelled as such where the visitor can see it. It is not a quotation or an offer, and a person reviews the session before any commercial follow-up.

Will it try to close the sale?

No. The agent gathers requirements, answers grounded questions and produces a summary. It does not negotiate, discount, agree terms or commit to timelines — those route to your team, with the session record attached.

What if a visitor just wants to speak to a person?

They say so and the system takes them there: an escalation path, a callback request or a booked follow-up, depending on how you configure it. That option is offered rather than hidden, and the conversation so far is passed on so nothing has to be repeated.

Markets our consultation agents meet clients in

A consultation agent is often the first thing an overseas prospect interacts with, which makes availability outside our own working day the deciding factor — each market page below states the overlap you can actually expect.

SCS Softwares works from Indore, India, and delivers to these markets remotely. We hold no office, company registration, telephone number or staff in any of them.
